Rental Terms and Conditions
By booking or renting a vehicle from Quality Car Rental Ltd., you confirm that you have read, understood and accepted these Terms.
Important
These website Terms must be read together with the signed Rental Agreement, Master Vehicle Rental Terms, booking confirmation, vehicle inspection record, insurance and CDW disclosures, payment authorisation and current Schedule of Charges.

Every driver must be named and approved on the Rental Agreement.

No Beach Driving
The Vehicle must not be driven on any beach, through saltwater or through floodwater.

Driver requirement
1. Driver Requirements
Every driver must:
- be at least 25 years old;
- hold a valid driving licence accepted by QCR;
- provide valid identification; and
- be named and approved on the Rental Agreement.
Unauthorised drivers
The rental is not transferable. The Vehicle must not be driven by an unauthorised person.
The Renter remains responsible for the Vehicle and the conduct of every approved driver.

2. Rental Period and Late Return
Rental days are calculated in consecutive 24-hour periods beginning at the agreed collection time.
Return tolerance
A 15-minute return tolerance applies.
If the Vehicle is returned more than 15 minutes late without prior approval, QCR may charge:

25% of the daily rental rate
More than four hours late
One full additional rental day may be charged
Any extension must be approved by QCR before the agreed return time. Keeping the Vehicle beyond the authorised rental period does not automatically extend the Rental Agreement.

3. Collection and Return
The Vehicle must be collected and returned at the agreed location, date and time.
The return is not complete until:
- the Vehicle is left at the approved location;
- all required return instructions have been completed;
- the keys are returned or placed as instructed;
- any required parking ticket is provided;
- the Vehicle is available for inspection; and
- QCR has recovered possession of the Vehicle.
Responsibility continues
The Renter remains responsible for the Vehicle until the return process is complete.

4. Vehicle Condition
The Renter accepts the Vehicle in the condition recorded on the Rental Agreement, vehicle inspection record and supporting photographs.
Before leaving
Any existing damage must be reported before leaving the collection location.
The Vehicle must be returned:
- in the same general condition;
- with all keys, documents, accessories and equipment;
- with the agreed fuel level;
- free from excessive dirt, sand, stains or rubbish; and
- free from smoke, vaping or strong odours.
Charges may apply for new damage, missing items, excessive cleaning or restoration.

5. Vehicle Use and Beach Driving
The Vehicle must be driven carefully, lawfully and only on suitable public roads or authorised private roads.
The Vehicle must not be:
- driven by an unauthorised person;
- driven by anyone under 25 years old;
- driven under the influence of alcohol or drugs;
- used illegally, recklessly, negligently or abusively;
- used for racing, speed testing or driver training;
- used to push, propel or tow another vehicle or device;
- used to carry passengers or goods for hire or reward;
- driven through saltwater or floodwater;
- driven on unsuitable roads or terrain;
- taken between islands without QCR’s written approval; or
- driven on any beach.

Beach driving is strictly prohibited.

Insurance
6. Required Third-Party Motor Liability Coverage
Required local coverage
QCR applies third-party motor liability coverage to each rental under its applicable fleet insurance arrangements, subject to the policy terms, limits, conditions, exclusions and approved-driver requirements.

SUVs and Vans
US$20 per rental day
The applicable charge is assigned according to the selected vehicle group, is required for the rental and is separate from optional Collision Damage Waiver.
External coverage
Personal motor insurance, travel insurance, credit-card protection or insurance from another country does not automatically replace QCR’s required local third-party liability coverage.
This is not comprehensive insurance.
It does not automatically cover:
- loss of or damage to the rental Vehicle;
- theft or attempted theft of the Vehicle;
- the Renter’s personal injuries or medical expenses;
- personal belongings;
- towing, recovery or storage; or
- loss-of-use charges.
The Renter remains responsible for losses not covered by the applicable insurance policy or valid Collision Damage Waiver.

7. Collision Damage Waiver
Protect your rental
Collision Damage Waiver can reduce the Renter’s financial responsibility for qualifying collision damage. CDW is optional and is not insurance.
Cars and Sedans — Add CDW Protection

SUVs and Vans — Add CDW Protection
US$14.95 per rental day
During booking, the Renter must select the applicable Add CDW Protection option or expressly select Decline CDW – Customer Accepts Full Vehicle Damage Responsibility.
CDW only applies where it has been:
- selected by the Renter;
- paid for;
- recorded on the Rental Agreement; and
- used in full compliance with the Rental Agreement.
US$1,500 deductible per incident
Valid CDW reduces the Renter’s responsibility for qualifying collision damage to a maximum deductible of US$1,500 per incident. The deductible is separate from the refundable US$500 security deposit.
If CDW is declined
The Renter may be responsible for the full cost of loss of or damage to the Vehicle under the Rental Agreement. Any personal, travel, credit-card or other external coverage is the Renter’s responsibility to verify and claim from directly.
CDW does not cover:
- glass, windows or mirrors;
- tyres or rims;
- engine or transmission damage;
- interior or underbody damage;
- lost or damaged keys;
- negligence, misuse or prohibited use;
- beach, saltwater or floodwater damage;
- unauthorised or underage drivers;
- driving under the influence of alcohol or drugs;
- failure to report an accident or damage promptly; or
- any material breach of the Rental Agreement.

A material breach may make CDW protection null and void.

8. Damage and Financial Responsibility
Subject to applicable insurance and valid CDW protection, the Renter is responsible for loss of or damage to the Vehicle during the rental period.
Declining CDW
Where CDW is declined, the Renter accepts full vehicle-damage responsibility under the Rental Agreement. QCR may charge the Renter directly for valid loss or damage, and the Renter must pursue any reimbursement from their own insurer, card provider or other protection provider.
Where valid CDW has been purchased, the US$1,500 deductible applies per qualifying incident, together with any excluded or otherwise chargeable loss.
Charges may include:
- repair or replacement costs;
- towing, recovery and storage;
- assessment or administrative costs;
- reasonable loss of use;
- diminished value, where applicable;
- the reasonable value of the Vehicle if stolen or declared a total loss; and
- other valid charges listed in the Schedule of Charges.

9. Fuel Return Requirement
The Vehicle must be returned with the fuel level shown on the Rental Agreement.
Missing fuel and any applicable refuelling charge may be added to the Renter’s account.

Fuel charges are not covered by insurance or CDW.

Incident reporting
11. Accidents, Theft and Damage
Any accident, collision, theft, attempted theft, vandalism, fire or damage involving the Vehicle must be reported to QCR immediately.
The incident must also be reported to the Royal Turks and Caicos Islands Police Force where required.
The Renter must:
- stop safely;
- obtain driver, vehicle and witness details;
- take photographs or videos where safe;
- avoid admitting liability;
- avoid agreeing to settle a claim;
- provide all police reports and documents to QCR; and
- cooperate with QCR and its insurer.

Failure to report an incident or cooperate may affect insurance or CDW protection.

Roadside safety
12. Breakdown and Mechanical Problems
Report any warning light, tyre problem, mechanical defect or condition affecting safe operation to QCR immediately.
Where continued driving may be unsafe:
- stop the Vehicle safely;
- switch off the engine where appropriate;
- contact QCR; and
- follow QCR’s instructions.
Do not arrange repairs, replacement parts or towing without QCR’s approval, except where immediate action is necessary to protect life or prevent serious loss.
Further damage
The Renter may be responsible for additional damage caused by continuing to drive after a warning or defect becomes apparent.

Severe weather
13. Flooding, Storms and Hurricanes
During flooding, tropical storms or hurricanes, the Renter must follow instructions issued by QCR and the relevant public authorities.
The Vehicle must not be:
- driven through floodwater;
- left in an exposed or unsafe location;
- used contrary to QCR instructions; or
- kept after QCR requests its return or relocation.
Coverage warning
Damage caused by ignoring these instructions may not be covered by insurance or CDW.

14. Traffic Fines and Penalties
The Renter is responsible for all:
- traffic fines;
- parking tickets;
- towing charges;
- impound charges;
- government penalties; and
- related administrative costs.
QCR may provide the Renter’s details to authorised authorities where required.

Payment security
15. Mandatory Refundable Security Deposit and Payment
Mandatory before vehicle release
A refundable security deposit of US$500 is required before QCR releases the Vehicle to the Renter.
The security deposit may be collected by payment, card pre-authorisation or another payment method approved by QCR.
The security deposit is separate from:
- rental charges;
- required third-party motor liability coverage charges;
- Collision Damage Waiver fees; and
- the US$1,500 Collision Damage Waiver deductible per incident.
Refund after return and inspection
After the Vehicle has been returned and inspected, the unused balance of the security deposit will be refunded or released, provided there are no outstanding amounts or unresolved matters.
QCR may deduct valid charges for:
- unpaid rental charges;
- late-return charges;
- missing fuel and refuelling charges;
- vehicle damage or loss;
- missing or damaged keys, documents, accessories or equipment;
- excessive cleaning, smoking, vaping or odour treatment;
- traffic fines, parking penalties and related administrative costs;
- towing, recovery, storage or loss of use;
- unauthorised extensions, prohibited use or other breaches of the Rental Agreement; and
- other valid charges stated in the Rental Agreement or Schedule of Charges.
If valid charges exceed the security deposit, the Renter remains responsible for the outstanding balance. Refunding or releasing the deposit does not prevent QCR from recovering valid charges identified later.
Bank release times
Refund or release times may depend on the Renter’s bank, card issuer or payment provider and are outside QCR’s direct control after processing.
Remove your belongings
Lost property
16. Personal Property and Lost Items
The Renter must remove all personal belongings before returning the Vehicle.
QCR is not responsible for property left in, lost from or damaged in the Vehicle, except where liability cannot legally be excluded.
Return of found items
Where an item is found, the customer is responsible for postage, courier, packaging and delivery costs.

Contract breach
17. Unauthorised Use and Vehicle Recovery
QCR may terminate the rental and recover the Vehicle where:
- it is not returned as agreed;
- it is used by an unauthorised driver;
- it is used illegally or dangerously;
- false information was provided;
- payment has failed or been reversed;
- the Vehicle is at risk; or
- the Rental Agreement has been materially breached.
Recovery costs
The Renter may be responsible for reasonable recovery, towing, storage, legal or collection costs.
Data use
Privacy
18. Personal Information
QCR may use personal information to:
- process reservations;
- confirm identity and driver eligibility;
- manage payments and deposits;
- handle insurance or damage claims;
- prevent fraud;
- recover unpaid charges;
- comply with legal duties; and
- communicate about the rental.
Information may be shared with insurers, payment providers, police, government authorities, recovery providers or professional advisers where necessary or legally required.

Document priority

Legal
20. Governing Law
These Terms and the Rental Agreement are governed by the laws of the Turks and Caicos Islands.
Nothing in these Terms removes any legal right, duty or liability that cannot lawfully be excluded.
Final Acceptance
By completing the booking, signing the Rental Agreement or accepting the Vehicle, the Renter confirms that they have read, understood and accepted these Terms and Conditions.
